San Antonio payroll services, right and on time.

Payroll runs, tax deposits, and quarterly and year-end filings for San Antonio small businesses, handled by a local team that knows the federal and Texas rules. Your people get paid correctly, the IRS and the Texas Workforce Commission get what they're owed, and you stop worrying about payday.

Where this helps

Payroll is the one bill you can't pay late.

Your team plans their lives around payday, and the IRS treats payroll taxes differently from almost anything else you owe. The withholding you take out of a paycheck belongs to the government the moment you take it. Miss a deposit or file a return late and the penalties stack up fast, and the owner can be held personally responsible for the unpaid amount.

Most owners who run payroll themselves are doing it after hours, with a calendar full of deadlines and a nagging sense they've missed something. We take the whole thing off your plate: every run, every deposit, and every filing, done on schedule.

Your people count on payday. You should be able to count on it too.

Sound familiar?

The payroll problems we fix most often.

A notice from the IRS

A late deposit, a missed Form 941, or numbers that don't match what was filed. Payroll penalties and interest grow every month they sit, so they're worth fixing right away.

Running payroll at midnight

You're the owner, the manager, and the payroll department. Every payday means another evening of timesheets, calculations, and hoping you got the withholding right.

Texas filings nobody mentioned

Texas has no state income tax, but employers still file quarterly unemployment tax reports with the Texas Workforce Commission and report new hires to the state. Those are easy to miss.

Contractor or employee?

Paying everyone as a 1099 contractor is simpler, until the IRS decides some of them were employees. Getting the classification right up front avoids back taxes and penalties later.

Paying yourself from an S corp

If your business is an S corporation, the IRS expects you to take a reasonable salary through payroll. Too little can draw scrutiny, and too much costs you in payroll taxes.

A January crunch every year

W-2s, 1099s, and annual returns are all due at the end of January. If the year's payroll records aren't clean, that month turns into a scramble.

IRS payroll tax resolution

Behind on payroll taxes? Let's get you right with the IRS.

Missed Form 941s, deposits that never went in, W-2s that weren't filed, a stack of IRS notices you've been afraid to open. It happens more than you'd think, often after a bookkeeper leaves, a payroll provider drops the ball, or cash gets tight for a few months. The important thing is to deal with it now, because payroll tax problems grow quickly. Penalties and interest keep adding up, and the IRS can hold the owner and other responsible people personally liable for the taxes withheld from employees' paychecks.

We help you clean it up and put it behind you:

  • Pull your IRS records to see exactly what's been filed, paid, and assessed
  • Reconcile your payroll records against what the IRS has on file
  • Prepare and file missing Form 941s, Form 940s, and W-2s
  • Correct past returns that were filed with errors
  • Respond to IRS notices for you, on time
  • Request penalty relief when the facts support it
  • Set up a payment plan for any balance you can't pay at once
  • Catch up late Texas Workforce Commission wage reports

As Enrolled Agents, we're licensed to represent you before the IRS, so you don't have to make those calls yourself. Once you're caught up, we run your payroll going forward so the same problem doesn't come back.

No judgment about how it got here. Just a clear plan to fix it.

One team

Payroll and your books, under one roof.

When the same San Antonio team runs your payroll and keeps your books, nothing slips between them. Wages and payroll taxes land in the right accounts, the quarterly filings match the numbers, and your tax preparer isn't left guessing at year-end. You have one place to call when a question comes up, in English or Spanish.

Common questions

What San Antonio owners ask about payroll first.

Texas has no state income tax. Do I still have state payroll filings?

Yes. You won't withhold state income tax from paychecks, but most Texas employers pay state unemployment tax and file quarterly wage reports with the Texas Workforce Commission. You also need to report new hires to the State of Texas. We handle all of it along with your federal filings.

I'm hiring my first employee. What do I need to do?

You'll need a federal employer identification number (EIN), a Texas Workforce Commission account, and a completed Form W-4 and Form I-9 from your new hire. From there, you're responsible for withholding, deposits, and quarterly filings. We walk you through the setup and take over the ongoing work.

Can you take over payroll in the middle of the year?

Yes. We bring in your year-to-date payroll totals so your quarterly returns and year-end W-2s are complete and accurate, even though we weren't running payroll in January.

I've fallen behind on payroll taxes or received an IRS notice. Can you help?

Yes. We review what was filed and paid, correct and file what's missing, and help you respond to the notice. If it has turned into a larger problem, our Enrolled Agents can represent you before the IRS through our IRS representation service.

Should my workers be employees or 1099 contractors?

It depends mainly on control. If you set someone's schedule and direct how the work gets done on an ongoing basis, the IRS generally sees an employee. If they control how and when they deliver the work, they're more likely a contractor. We help you sort out who's who and set up payroll or 1099s accordingly.

How should I pay myself if my business is an S corporation?

S corporation owners who work in the business are expected to take a reasonable salary through payroll, with the rest of the profit available as distributions. We run your owner payroll and work with you on a salary that fits your role and your numbers.

Do you offer payroll services in Spanish?

Yes. Hablamos español. You and your employees can work with our team in English or Spanish.
